How to read a price quotation

What to check in a supplier quotation, from item details to validity dates and payment terms, before you approve it.

A quotation tells you exactly what you will receive and what it will cost. Reading it carefully prevents misunderstandings later.

Line items

Check that every item lists the product name, specification, quantity, and unit price.

Validity period

Most quotations are valid for a limited time. Prices and stock can change after that date.

Additional costs

  • Delivery or freight charges
  • Installation or assembly
  • Taxes, if applicable

Payment terms

Confirm whether payment is upfront, split into a down payment and balance, or due on invoice.

If any part is unclear, ask before you approve the quotation.
